Stage 3: Managed AI Operations

Your System Shouldn't Just Stay Running. It Should Keep Getting Better.

Your account manager continues to seek business improvement opportunities for your business, not just keep the lights on. Most businesses that invest in software end up with a maintenance vendor: bugs fixed when reported, hosting kept alive, invoices on time. The system technically works, and quietly delivers nothing. Managed AI Operations is a different arrangement: we manage the system and the business outcomes it exists to produce.

The Difference

A maintenance contract keeps it alive. We keep it earning.

A typical maintenance contract

  • vsBugs fixed when reported, never before
  • vsHosting and uptime, nothing more
  • vsFeatures built as requested, not as needed
  • vsNo training, no user adoption, no data quality
  • vsNo reporting, so no evidence of work done
  • vsThe vendor owns the IP; you rent your own system

Seed Growth Managed Operations

  • +Issues identified before your team notices them
  • +Your whole team has a direct line to ours
  • +Structured user adoption: training, usability audits, configuration tuned to how you actually work
  • +Monthly data quality reporting and quarterly cleaning sprints
  • +A written report card every month, giving evidence rather than assurances
  • +You own everything we maintain, build and document
What's Covered

Six pillars. One operating system kept running and improving.

01

Technical Stability

Around-the-clock monitoring with an uptime commitment. Every defect logged, prioritised and fixed within agreed service levels. Backups taken daily, and restoration tested monthly, because an untested backup is a hope, not a backup.

02

Integration Health

The syncs between your platform, ERP and accounting system are the operational heartbeat of the business. Every sync monitored; discrepancies investigated within a business day; failures treated as critical regardless of the hour.

03

Customer-Facing Systems

Portals and anything your clients see monitored daily and treated as high priority minimum, because those systems carry your reputation, not just your data.

04

Your Team, Supported

A direct helpdesk line for every user, not just management. Fields, workflows and screens adjusted as your team finds what doesn't fit. Monthly training included, sessions recorded for new starters.

05

Continuous Improvement

A development allowance built into every month: small improvements your team requests or we identify, shipped in a fortnightly rhythm. The system improves every month; it doesn't just stay running.

06

Evidence & Accountability

A one-page report card every month: uptime, tickets closed, fixes shipped, data quality score, risks raised. A structured monthly review call. Quarterly health scorecards. An annual business value assessment measuring what the platform returned.

The Operating Rhythm

A cadence that produces evidence, not just activity.

01

Weekly

A two-week sprint cycle you approve before it starts. Written progress updates every Monday. Fixes and improvements shipped every fortnight, with release notes.

02

Monthly

Security patching, backup-restoration verification, sync health checks, data quality scorecard, adoption report, and the monthly report card, all delivered by the 5th, every month.

03

Quarterly

Performance and security reviews, access audits, a data-cleaning sprint, a usability audit of how your team actually uses the system, and a health scorecard versus last quarter.

04

Half-Yearly

Platform upgrades, architecture and tech-debt review, and a live disaster-recovery test with recovery timings.

05

Yearly

Full platform re-assessment, complete data audit, prioritised risk register, capacity plan, business value assessment (ROI, hours saved, pipeline movement), and a 12-month roadmap.

Every cycle produces a document you hold.
Evidence the retainer is working, never assumed, always shown.

Service Levels

Clear commitments. Logged in a shared tracker with live client visibility.

A typical managed agreement includes:

Critical

System down: response within 4 hours, fix deployed same day, any hour, any day.

High

Major function broken: response by next morning, patched within 48 hours.

Medium

Resolved within the sprint cycle.

If a service level is missed, you get a written incident report and an improvement plan, and if performance doesn't recover, you can walk. The obligation is to fix the issue, not to discount an invoice.

You Own Everything

No Lock-In. Ever.

Everything we maintain, modify, document or build is your property from the date of creation: code, configurations, documentation and data. At any point you can request a complete handover pack and take your system to any developer, without penalty or delay. On exit, you receive a full data export at no charge. We'd rather earn next month's fee than lock you into it.

Stage 3

Managed operations is scoped from your Blueprint.

Stage 1 finds the opportunity. Stage 2 builds the business case. Stage 3 is where the system, and the improvement it delivers, becomes permanent.
